Choosing which classes to change: this one, a block of dates, or this and all following

Editing a classPick the scope, check the preview, then choose how to tell clients.

Change a class without writing twenty emails.

Moving a Tuesday class or swapping a teacher takes one screen. Choose this class, a block of dates and weekdays, or this and all the classes that follow. Project Book shows which classes change and how many clients are booked into them before you save.

  • The same choices for classes, course sessions and 1-2-1s
  • Cancel or delete with the same three choices
  • Email the booked clients: automated, in your own words, or not at all
The intake form builder with questions and answer types

The intake form builderQuestions, answer types, help text and the class types that need the form.

Intake forms that clients complete before they can book.

Build the form once: short answers, long answers, numbers, yes or no, pick one, pick several, dates. Add help text under any question. Then assign the form to the class types that need it. A client who has not completed it is asked to, or told to contact the studio, before the booking goes through.

  • Pre and postnatal questions use the same builder
  • Answers sit on the client’s profile with the date
  • Staff can complete a form for a client at the desk

Waitlist settingsHow spots are offered, and when messages are held back.

A waitlist that refills cancelled spots.

When a place opens up, Project Book offers it to the next client on the waitlist. You choose how spots are promoted and set quiet hours so messages never land overnight. Clients can see where they are in the queue.

  • Quiet hours for waitlist messages
  • Move a client to the top of the list
  • Courses have their own waitlist
The email the studio receives after a phone call, with the caller, reason and urgency

Real screenshot neededThe call summary email from a real test call, with the caller's details blurred. Save it as screens/call-summary.png.

After every callWho rang, what they wanted, how urgent it is, and the transcript.

A receptionist that picks up while you teach.

We set up a phone number for the studio, and calls to it are answered by a voice receptionist that knows your timetable, prices, courses and policies. It answers what it can, takes the caller’s name and reason for calling, and says goodbye. A few minutes later you get an email with who called, what they wanted and how urgent it is. You decide whether to ring back.

  • Never transfers a call or interrupts a class
  • Knows only what is public: no client accounts, bookings or payments
  • Keeps a written transcript; no audio is recorded
  • Booking and cancelling stay in the app, and callers are told how
The on-demand class library clients rent from

Sell the classes you have already recorded.

Bring your recordings across and Project Book gets them ready to sell. It listens to each video, suggests where the class starts and ends, and labels it. You check the cut before anything is trimmed. Then choose how each one is sold: a rental by card, a class credit, either, or free. Rentals last 24 hours unless you set a different length.

  • Visitors can rent from your website without making an account
  • Each rental plays on up to two devices, one at a time, and resumes where it stopped
  • There is no download button, and the link stops working when the rental ends
  • Straighten a tilted camera and drop duplicate uploads before you publish

Built inside a working studio.

Project Book began as the booking system for Project Revive, a Dublin Pilates studio. Courses, 1-2-1s, intake forms and cover teachers are in the product because a working studio needed them.

Courses
Multi-week courses with their own waitlist and part-way joining.
1-2-1s and rentals
Sell private sessions and rent the room to freelancers, each with its own calendar.
Cover
Keep a pool of cover teachers and reach a wider network when you need one.
Retention
Rebook check-ins and badges that bring clients back.
Videos
Built to move a back catalogue of recorded classes off Vimeo and sell them as rentals.

Moving from Mindbody or another system.

Export your clients, class credits, course enrolments and past sales as CSV. Project Book imports them in one batch and flags any rows that need a second look instead of stopping. Your clients keep their balances, and old invoices keep their numbers.

  • BrandingYour name, logo and colours in the client app.
  • Class types and pricesSet up with you before launch.
  • Clients and creditsImported from your CSV export.
  • TrainingA session for you and your team.

One flat price per studio.

Questions studios ask.

Does Project Book take a cut of my bookings?

No. You pay a flat monthly fee. Card payments run through Stripe, and Stripe charges its own processing fee.

Can I move my clients over from Mindbody?

Yes. Export your clients, class credits and course enrolments as CSV and we import them in one batch. Rows that need a second look are flagged rather than skipped.

Who sets Project Book up?

We do. Setup covers your branding, class types, prices and intake forms, plus a training session for you and your team.

Does Project Book support recurring memberships?

Not yet. Project Book sells drop-ins, class packs, intro offers, courses and gift vouchers. If recurring memberships are essential for your studio, tell us when you book a demo.

Does the phone receptionist book classes or put calls through?

No. It answers questions from your timetable, prices and policies and takes a message. Every call is summarised and emailed to you, and you decide whether to call back. Clients book and cancel in the app.

Can clients download or share the class videos?

There is no download button. Each rental plays through a link that stops working when the rental ends, on up to two devices and one at a time.

Does Project Book produce VAT invoices?

Yes. Every sale gets a numbered invoice showing your VAT number and the VAT on each line. Online payments are invoiced automatically, and you record card-machine or cash sales at the desk. Clients download their invoices from their account.

Does it work on phones?

Yes. Clients and teachers use Project Book in the browser and can install it to their home screen.

Can I get a feature that is specific to my studio?

Most things are settings you control: class types, prices, intake forms and wording. If you need something more specific, we scope it and quote a fixed price.

What does it cost to start?

Plans start at €79 a month excluding VAT. There is a one-off onboarding fee of €299, or €500 if we import your clients from another system.

Book a demo and bring your timetable.

We will show Project Book with a week like yours and tell you what moving across would involve.
